MDF management software: what to actually require in 2027
The RFP templates floating around this category were written for 2015. Here is the bar now.
Market development funds fail the same way co-op does: money allocated, money unspent, partners annoyed. If you are evaluating MDF or co-op software, most checklists will tell you to require funds management, claims and reporting. Obviously. Here is what separates 2027-grade software from a portal with a fresh coat of paint.
Table stakes, quickly
Fund accrual and balances by partner and tier. Claims with documentation. An audit trail on every dollar. Campaign launch and asset libraries. Roles for every actor in the network. If a vendor is still selling these as features, that is a signal in itself.
The 2027 bar
- Compliance checked at submission, instantly, not by a reviewer three weeks later.
- Claims filed in minutes on a phone, because your partners run businesses, not back offices.
- Your program's actual tier and accrual logic, not the nearest configurable approximation.
- AI in the core: generation inside brand guardrails, plain-language questions against live program data.
- Per-location reporting the CFO can open without a services request.
The contract requirements everyone forgets
- Full data export in usable formats, tested before signature, not promised after.
- Clarity on what you own at contract end. Push for source and IP, or price the lock-in honestly.
- Published pricing, or at minimum a five-year all-in number in the proposal.
- Exit terms: what a migration out looks like, in writing, while you still have leverage.
Any platform that meets the whole list is worth your shortlist, whoever builds it. Ours happens to be the one you own when you are done paying for it.
